WELCOME! GETTING STARTED WITH YOUR NEW MICROSOFT 365 ACCOUNT


Welcome to your new professional Microsoft 365 account! This guide will walk you through the simple, one-time setup process to log in securely. By using what is called, "two factor authentication", your account and your data are much safer. In order to login, you will need to know your account information (1st factor), and you will also need to have your mobile phone (2nd factor). This makes unauthorised access much harder, and keeps your business data secure. 

This involves two main parts:

  1. Your first login on your computer

  2. Setting up the Microsoft Authenticator app on your smartphone for security.

This security step is crucial for protecting both your account and the company's data. I should take about 5-10 minutes to complete.

What you will need:

  • Your computer

  • Your smartphone

Let's get started!

Part 1: Your First Login on Your Computer

  1. On your computer, open your web browser (like Chrome, Edge, or Safari) and go to: portal.office.com

  2. You will see the Microsoft sign-in screen. Enter your new work email address that we have provided you and click Next. (Your email: [example@yourclientagency.es])

  3. Next, enter the temporary password you were given. Click Sign in.

  4. Because this is your first time logging in, you will be required to create a new, private password.

    1. Enter the temporary password again in the "Current password" field.

    2. Create a new, strong password in the "New password" and "Confirm password" fields.

    3. Password Tip: A strong password is long and includes a mix of upper and lower case letters, numbers, and symbols.

    4. Click Sign in.


Part 2: Setting Up Microsoft Authenticator (Multi-Factor Authentication)

After setting your new password, you'll see a screen that says "More information required." This is a normal security step to connect your account to your phone.

  1. On the "More information required" screen, click Next.

  2. The next screen will instruct you to get the app and will display a QR Code (a square barcode). Leave this screen open on your computer and pick up your smartphone.

  3. On your smartphone, go to the App Store (for iPhone) or Google Play Store (for Android) and download the free app called "Microsoft Authenticator." It has a blue, geometric logo.

  4. Once downloaded, open the Microsoft Authenticator app on your phone.

    1. Agree to the terms.

    2. Tap the + icon (or "Add account").

    3. Choose "Work or school account."

    4. Choose "Scan a QR code."

  5. Point your phone's camera at the QR code that is still displayed on your computer screen. Your phone should scan it automatically.

  6. Once scanned, your work account will appear in the app on your phone. Now, go back to your computer and click the Next button.

  7. Microsoft will now send a test notification to your phone to make sure everything is connected correctly.

  8. On your phone, a notification from the Authenticator app will pop up. Tap "Approve."


Part 3: All Done! Welcome Aboard!

Congratulations, your setup is complete!

Your account is now secure, and you are logged into the Microsoft 365 portal. From here, you can access all your applications like Outlook (for your email), Teams, OneDrive, and more by clicking on the icons on the left-hand side of the screen.

In the future, whenever you sign in from a new device, you will receive a simple notification on your phone to approve the login. It's security made easy.
